Manual 05: Team And Access

What This Guide Is For

Use this guide to invite teammates, manage roles, configure external users, and protect published Apps.

Step 1: Open Workspace Settings

  1. Go to Settings.
  2. Open Team, Users, or Members.
  3. Confirm you are in the correct workspace.

Expected result: you see the workspace member list.

Step 2: Invite A Teammate

  1. Select Invite user.
  2. Enter the email address.
  3. Choose a role.
  4. Send the invite.

Expected result: the invited user receives an email and appears as pending.

Step 3: Choose A Role

Typical roles:

  • Owner: full access, billing, security, deletion.
  • Admin: workspace setup, users, integrations, publishing.
  • Creator: creates Apps, Boards, Agents, and Spaces.
  • Member: uses workspace resources.
  • Viewer: read-only access.
  • External user: can access selected published Apps or Companions.

Step 4: Manage External Users

  1. Go to External Users.
  2. Create a user or group.
  3. Assign access to Apps, Companions, or protected flows.
  4. Save.

Expected result: external users can access only the experiences assigned to them.

Step 5: Protect A Published App

  1. Open the App.
  2. Go to Share or Access.
  3. Choose an access mode:
    • public;
    • password;
    • workspace only;
    • external users or groups.
  4. Save.
  5. Test the public link in a private browser window.

Expected result: the App enforces the selected access mode before loading.

Step 6: Remove Access

  1. Open the user, group, or App access settings.
  2. Remove the role or assignment.
  3. Save.
  4. Confirm access no longer works.

Troubleshooting

  • If a user cannot see an App, check workspace role and App-specific access.
  • If an external user can see too much, check group assignments.
  • If a password-protected App stays open, test in a new session.
  • If an invite does not arrive, resend it and check email settings.

Product Decisions Needed

  • Exact role names and permission matrix.
  • Whether external users can have profile settings.
  • Whether App access changes require audit review.
